This Privacy Policy explains how Cycode FleetLogic collects, uses, discloses, and safeguards your information when you visit our SaaS platform and use our dedicated mobile applications (Driver/Operations App and Client Tracking App).
1. Information We Collect
We collect information that identifies, relates to, or could reasonably be linked to you or your business. This includes:
- Administrative Data: Names, emails, and phone numbers of fleet administrators used for account provisioning.
- Financial Data: Freight billing records, driver trip settlements, staff payroll, and ledger entries. We do not store raw credit card or bank account numbers. Digital payments are securely tokenized and processed by authorized third-party gateways (Cashfree Payments).
2. Mobile Application Data & Permissions (Google Play Policy)
To provide specific functionalities, our mobile applications request access to certain device data. We strictly adhere to the principle of data minimization and explicit user consent.
A. Driver & Operations App
- Location Data (Geo-Fencing & Attendance): For standard yard or warehouse staff, the app collects Location Data (GPS coordinates) strictly to enable the 'Geo-fenced Attendance' feature. This verifies that staff members are within the approved depot radius when punching in/out. This specific feature only accesses location in the foreground when the user actively triggers the punch.
- Background Location Data (Live Trip Telemetry): For drivers assigned to freight trips, our app collects location data to enable live route tracking, fleet visibility, and ETA calculations even when the app is closed or not in use.
User Control & Consent: This background tracking is never "always-on". It requires explicit, prior consent from the user. Background location collection only begins when the driver manually taps the "Start Trip" button within the app, and it ceases entirely the moment they tap "End Trip" or "Settle Trip".
- Camera & Storage: Accessed only when a driver actively chooses to upload Proof of Delivery (POD) documents, fuel slips, toll receipts, or vehicle inspection/damage photos.
B. Client Tracking App
- Standard Profile Data: Consignment statuses, freight records, and invoice details shared by the subscribing transport company.
- Biometric Data Disclaimer: The Cycode FleetLogic mobile applications do not collect, process, or store raw biometric data (such as fingerprints or facial scans) from your mobile device sensors. Biometric attendance for depot staff is captured exclusively via physical, third-party hardware scanners (e.g., ZKTeco/eSSL) installed at the warehouse premises. Our platform merely acts as a bridge, receiving encrypted API tokens/hashes from these third-party devices to mark the attendance status as "Present" or "Absent".
- Camera & Storage: Accessed only when a client actively chooses to upload KYC documents, claim evidence, or query attachments to the Helpdesk Engine.
3. How We Use Your Information
We use the information collected strictly for operational purposes within the Cycode FleetLogic ecosystem, including:
- Providing, operating, and maintaining our enterprise logistics software and mobile apps.
- Processing automated payroll, freight invoice reminders, and driver settlement logs.
- Sending operational SMS/WhatsApp alerts (such as dispatch notifications and ETAs) via Wamebo or Meta Cloud API.
- Providing technical support and fulfilling customer service requests.
4. Data Security
We use military-grade 256-bit AES encryption to secure your data at rest and in transit. Cycode FleetLogic operates on a strict multi-tenant architecture, ensuring complete isolation of databases between different transport companies and branches. However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure.
5. Data Retention & Deletion Request
User data is retained as long as the organization maintains an active subscription with us. Because Cycode FleetLogic is a B2B enterprise platform, data belongs to the subscribing transport institution. If you are a client, driver, or staff member and wish to have your personal data deleted, please contact your Fleet Administrator. Once authorized by the fleet administration, data is permanently purged from our active databases.
